Planning Meeting 1

The first planning meeting for EduWiki 2014 took place via Skype on 14/4/14.

Notes from the meeting

1. Event date
The tentative date for EduWiki 2014 has been set for Friday 31 October. This is half-term in some parts of England. It is also Halloween. The actual date will be locked down as soon as venue availability has been confirmed.
2. Event venue
Edinburgh has been identified as a desirable location for EduWiki 2014. A number of possible venues were mentioned during the meeting. AC will coordinate the initial list to explore, while TS will coordinate the necessary arrangements to secure formal quotes to be collated. The initial list of possible venues includes:
Ideas for other venues will be added to the event page by AC so that further community input may also be considered.
3. Theme/s and tracks
TS explained that because of Wikimania, WMUK was felt that it would be more prudent to have a one-day rather than a two-day EduWiki this year. However, there was still scope for a fairly full day of activities, including the possibility of parallel tracks. The following three theme/s and/or tracks have already been identified as possible ideas to develop for EduWiki 2014:
  • A showcase of WMUK-supported Education activities from the past 2+ years;
  • A workshop (or two) for educators who want to explore the use of Wikipedia in the University classroom through the courses extension;
  • An opportunity for Wikimedia's Education leaders to follow-up on previous discussions at Wikimania around the new Wiki Education Cooperative (currently in formation).
Ideas for other themes are also welcome at this point. TS will present these on the event page in due course and seek to invite participation.
4. Associated Activities
As in previous years, EduWiki will also include opportunities for events outside the conference itself, but adjacent to the event to encourage community engagement with the main event. Open Knowledge Scotland, the Open Rights Group, and the National Museum of Scotland were mentioned as possible collaborators. An Edinburgh and/or Glasgow meet-up would also be desirable on the night before and/or night of the event.
5. EduWiki 2013 attendees survey
WMUK will be circulating a survey to all EduWiki 2013 attendees by early May. 2014 planning meeting attendees will receive first sight of the survey to ensure that this is the best possible opportunity to gather comments ahead of this year's event from last year's delegates. Anyone else interested in having first sight of this survey should contact educationatwikimedia.org.uk.
6. Timeline
TS will be presenting a timeline of the steps leading up to EduWiki 2014 workshop before the end of April or asap after that. (update May: Timeline can be found EduWiki_Conference_2014#Organisational_timeline)

1. Event date

All venues we have contacted are available on Friday 31 October 2014. We are therefore now going ahead with this date.

2. Event venue

Now that we have gathered three quotes we're in a position to decide to go with Edinburgh First since they offer us the best deal both in terms of price and facilities/amenities. AC will liaise with TS to ensure that an agreement is provided so that the necessary deposit is paid to secure the venue for the event.

3. EduWiki 2012/2013 attendees survey

A survey about WMUK's education activities around EduWiki has been circulated to attendees of the conferences organised in 2012 and 2013. It is envisioned that the responses from this survey will help enhance the programme for EduWiki 2014 and further engagement with the event attendees over the years.

4. Timeline

The main points required for the organisational timeline are now available on the main page. This will continue to be developed and updated as we go along.
