Wikimedia UK is the national charity for the global Wikimedia movement. We work with the Wikimedia Projects such as Wikipedia to enable people and organisations to contribute to a shared understanding of the world through the democratic creation, distribution and consumption of knowledge. Wikimedia UK has a strong track record of delivery and works in partnership with leading organisations from the cultural and education sectors and beyond in order to unlock content, develop new ways of engaging with the public, remove barriers to knowledge and enable learners to benefit fully from the educational potential of the Wikimedia projects. The team is currently working with over 50 organisations including Bodleian Libraries, British Library, House of Commons, National Library of Scotland, National Library of Wales, Scottish Libraries and Information Council, Tate, University of Edinburgh and Wellcome Library.

Programme Coordinator

We have been delivering activities in Scotland for several years and has successful ongoing partnerships with a number of leading educational and cultural institutions including the National Library of Scotland, Scottish Libraries and Information Council and University of Edinburgh. We are now looking to expand our team by appointing a dedicated programme manager in Scotland, who will develop this work further by supporting our current partnerships as well as seeking new opportunities for collaboration. This is a part time post and can be based anywhere in Scotland, however it will be peripatetic by nature and involve considerable amounts of travel. Experience of either the cultural, education or open knowledge sectors is essential, as are excellent communication and relationship management skills and a flexible, self-motivated approach. Job Description

Job title: Programme Coordinator - Scotland

Hours: 0.5FTE

Location: Scotland

Reporting to: Head of Programmes and Evaluation

Salary: £25,000 - 28,000 pa (pro rata)

Benefits: 25 days annual leave plus public holidays (pro rata). WMUK offers a pension scheme, with a current employer contribution of 6%

Contract: Permanent

Purpose of job: To lead the delivery of Wikimedia UK’s activities in Scotland by developing and running projects with partner institutions, involving and empowering volunteers, co-ordinating peer learning and exchange in Scotland.

Main Duties

Programme Development:

  • Lead on the development and delivery of Wikimedia UK’s programme in Scotland, in collaboration with the Head of Programmes and Evaluation
  • Seek potential opportunities for new projects and partnerships or collaborative working
  • Work with other staff to identify funding opportunities for existing or potential projects, as appropriate
  • Lead on volunteer engagement in Scotland and support and co-ordinate their work
  • Support financial budgeting and forecasting for the Scottish programme and monitor expenditure

Relationship Management:

  • Actively pursue, setup and manage relationships with partner organisations in Scotland
  • Act as the main point of contact for specific partner organisations and volunteers and ensure proactive, effective and regular communications with these stakeholders
  • Monitor and evaluate partnership projects, with support from the Programmes team
  • Provide support to the Wikimedians in Residence based in Scotland
  • Develop and deliver a range of activities, such as Wikipedia editing events, media donations, and conferences, in partnership with other staff and external stakeholders

Volunteer Engagement and Development:

  • Encourage the involvement of volunteers in activities wherever possible, and grow the volunteer base
  • Deliver and support the delivery of training to new and existing volunteers
  • Regularly assess training methods and materials in line with changing volunteer and partner needs, in collaboration with the Head of Programmes and Evaluation
  • Support the volunteer grants programme in relation to activities in Scotland

Monitoring, Evaluation and Impact:

  • Handle documentation and record all relevant metrics against set goals
  • Produce regular updates for the team and senior managers using CRM data
  • Undertake assessment and evaluation of all projects, including collecting feedback from stakeholders, accurate use of CRM and formal report writing
  • Report to Wikimedia UK regularly on programme plans, outputs and outcomes

Communication and Dissemination:

  • Act as the key point of contact for our activities in Scotland for partners, volunteers and the media, raising awareness of open knowledge and boosting the profile of Wikimedia UK
  • Manage social media regarding activities in Scotland, in collaboration with other members of the team
  • Identify opportunities to reach the print and broadcast media in Scotland and liaise with the CEO and the Communications Co-ordinator to write and circulate press releases where appropriate
  • Write blog posts, create case studies, and generally contribute to the promotion and dissemination of our work and impact in Scotland
  • Support inter-chapter collaboration in knowledge sharing

Travel:

  • Attend and contribute to regular team meetings (generally held in London)
  • Regular travel across Scotland will be required (for which costs will be reimbursed)
Experience
  • Experience in the Scottish cultural and/or education sector
  • Experience of managing partnership projects
  • Experience of organising events
  • Experience of working effectively with volunteers and supporting volunteer development
  • Experience of developing and/or delivering training
  • Experience of budgeting, allocating resources and seeking additional funding to support activities
  • Knowledge of government structures and public bodies in Scotland is desirable
Skills and abilities
  • Fully fluent and literate in English
  • Knowledge of Scottish Gaelic is desirable
  • Passionate about the aims and values of Wikimedia UK
  • Excellent software skills, including CRM databases
  • Flexible approach, with the capability to identify and manage opportunities and risk
  • A high level of initiative and self-motivation, with good time management skills and ability to meet deadlines
  • Ability to communicate effectively in person and in writing, good reporting skills
  • Good relationship management skills
  • Good problem solving, numeracy and analytical skills
  • Familiarity with editing Wikimedia projects is desirable, although training can be given
